These Terms of Use ("Terms") are a binding agreement between you and Vehium, operated by its founders based in Cyprus. By using any part of the Vehium platform (website, web app, desktop app, or mobile apps), you agree to these Terms. If you do not agree, do not use the platform.
1. Definitions
- "Platform" refers to the Vehium website, web application, desktop application, and mobile applications.
- "User" refers to any individual or entity using the Platform, including workshop owners, mechanics, staff, and administrators.
- "Customer Data" refers to personal and vehicle data that Users input regarding their end customers.
2. Account Registration & Security
- You must provide accurate registration information: first name, last name, email, phone number, company name, and VAT number.
- You must confirm your email address before your account is activated.
- Passwords must be at least 12 characters with uppercase, lowercase, digits, and special characters.
- You are responsible for keeping your credentials confidential and must notify us immediately of unauthorized access.
- You are responsible for all activity under your account, including actions by employees (Admins, Managers, Workers) you add to your workshop.
- One account per individual. Shared or generic accounts are not permitted.
3. Acceptable Use
Use the Platform only for lawful automotive workshop management purposes. You must NOT:
- Use the Platform for any unlawful, fraudulent, or deceptive purpose.
- Attempt unauthorized access, reverse engineering, or interference with the Platform.
- Upload or distribute malware, viruses, or malicious code.
- Scrape, crawl, or harvest data from the Platform by automated means.
- Send unsolicited communications (spam) to end customers via the Platform.
- Store data that violates the privacy rights of individuals without proper consent.
- Impersonate another person or entity.
4. Your Data Responsibilities
As a workshop using Vehium, you act as a data controller for Customer Data you input (first name, last name, phone, email, address, VIN, brand, model, year, license plate, engine type). You are responsible for:
- Obtaining appropriate consent from your customers before entering their data.
- Ensuring accuracy of all Customer Data you submit.
- Complying with all applicable data protection laws (GDPR, CCPA, local regulations).
- Informing your customers about how their data is stored and processed.
- Responding to data access, correction, or deletion requests from your customers.
Vehium acts as a data processor on your behalf and processes Customer Data solely to provide the Platform.
5. Billing, Subscriptions & Payments
- Paid features follow your selected subscription plan. Pricing and features are described on our pricing page.
- All payments are processed by Stripe. We never store your credit card details.
- Subscriptions automatically renew unless cancelled before the renewal date.
- We reserve the right to change pricing with at least 30 days' notice before the next billing cycle.
- Failure to pay may result in suspension or downgrade of your account.
6. Cancellation & Refunds
- You may cancel your subscription at any time from within the Platform or by contacting us. Cancellation takes effect at the end of the current billing period.
- EU/EEA/UK customers: If you are a consumer, you have the right to withdraw from your subscription within 14 days of purchase without giving any reason, as provided by the EU Consumer Rights Directive (2011/83/EU). To exercise this right, contact us at info@vehium.com before the 14-day period expires. We will refund you within 14 days of receiving your withdrawal request.
- By beginning to use the Platform's paid features during the 14-day withdrawal period, you acknowledge that you may lose the right to a full refund for the period of service already used.
- After the 14-day withdrawal period, fees for the current billing period are non-refundable.
- Free trial periods do not require payment. If you cancel during a trial, you will not be charged.
7. Intellectual Property
The Vehium name, logo, software, and all related branding are the intellectual property of the Vehium founders. All rights reserved.
- You may not copy, modify, distribute, or create derivative works from any part of the Platform.
- You retain full ownership of Customer Data and business data you submit.
- By using the Platform, you grant Vehium a limited license to process your data solely for service delivery.

8. Service Availability & Disclaimers
- We aim for high availability but do not guarantee uninterrupted or error-free service.
- The Platform is provided "as is" and "as available" without warranties of any kind, express or implied.
- We may perform scheduled maintenance with reasonable advance notice.
9. Limitation of Liability
To the maximum extent permitted by applicable law:
- Vehium shall not be liable for any indirect, incidental, special, consequential, or punitive damages.
- Our total liability for any claim shall not exceed the fees you paid to Vehium in the 12 months preceding the claim.
- These limitations apply regardless of the theory of liability.
- Nothing in these Terms excludes or limits liability that cannot be excluded under applicable law (including liability for fraud or death/personal injury caused by negligence).
10. Indemnification
You agree to indemnify and hold harmless Vehium and its operators from claims, damages, or expenses arising from:
- Your use of the Platform in violation of these Terms.
- Your violation of any applicable law or regulation.
- Your failure to obtain proper consent for Customer Data you store on the Platform.
- Any dispute between you and your end customers regarding their data.
11. Termination & Account Deletion
- You may request account deletion from within the Platform by providing your password.
- Upon requesting deletion, your account enters a 30-day grace period during which you can cancel the deletion and restore your account.
- After the 30-day grace period, all your data is permanently and irreversibly deleted.
- You may also request immediate permanent deletion, which bypasses the grace period.
- We may suspend or terminate your access for material violations of these Terms.
- You may request export of your data before deletion is finalized.
- Sections regarding intellectual property, limitation of liability, indemnification, and governing law survive termination.
12. Governing Law & Disputes
These Terms are governed by the laws of the Republic of Cyprus.
If you are a consumer in the EU/EEA, you may also bring proceedings in the courts of your country of residence, as provided by EU Regulation 1215/2012.

13. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes at least 30 days in advance via email or in-app notification. Continued use after changes take effect constitutes acceptance.
